# CRM RFP Template

**Primary download:** [Excel response workbook](/resources/crm-rfp-template.xlsx)
**Secondary:** [PDF brief](/resources/crm-rfp-template.pdf)

A **vendor-facing** CRM request for proposal — not an internal Pass / Fail checklist.

Issue the same structured package to every shortlisted vendor: context, stable requirement IDs, delivery-method responses, pricing, implementation, and a declaration. Keep the **INTERNAL** evaluation page off the vendor package.

---

## When to use an RFP

**Good fit:** several serious finalists · larger committee · material integrations · security/procurement formality · pricing needs normalisation

**Usually overkill:** tiny team · simple self-serve CRM · obvious 1–2 vendor shortlist · no formal procurement need

---

## Workflow

Requirements → **RFP** → Vendor responses → Demo / POC → [Vendor Scorecard](/resources/crm-vendor-scorecard/) → [Decision Matrix](/resources/crm-comparison-worksheet/) → [Business Case](/resources/crm-business-case-template/)

Before: [Requirements Builder](/tools/crm-requirements-builder/) · [Evaluation Checklist](/resources/crm-evaluation-checklist/)
Related: [Field Mapping](/resources/crm-field-mapping-template/) · [Cost Calculator](/tools/crm-cost-calculator/) · [Demo Checklist](/resources/crm-demo-checklist/)

## Response model (not Pass/Fail)

| Delivery method | Meaning |
| --- | --- |
| Native | Standard product capability |
| Configuration | Available via product setup |
| Custom | Custom development required |
| Partner / Third party | Depends on another product/service |
| Roadmap | Not currently available |
| Not supported | Cannot be met |

Roadmap ≠ currently available when scoring.

---

## Stable requirement IDs

SAMPLE rows use **CRM-REQ-001…010** (Requirements pillar) plus **REQ-CRM-*** / **REQ-TECH-*** / **REQ-SEC-*** / **REQ-MIG-***. Replace with your signed requirements but keep IDs stable so answers flow into the Scorecard.

---

## Excel sheets (primary)

`01_Instructions` … `18_Response_Summary` — context, objectives, scope, users, functional/technical/security tables, integrations, migration, implementation, training, support, **blank** pricing/TCO, vendor profile, risks/exceptions, summary.

---

## PDF (secondary)

~14 pages: cover → instructions → context → objectives/scope → users → functional requirements → technical/integrations → migration/security → implementation/support → pricing → profile/risks → declaration → **INTERNAL** buyer page.
